The challenge
Operations work spreads itself across spreadsheets, email threads and three systems that disagree with each other. Nobody can answer where a request currently sits without asking a person, and the answer is often wrong by the time it arrives.
Our approach
A concept study in giving scattered operational work one spine. The organising idea is that every request is a single object with a visible state, and every team sees the same object through the lens their role needs — rather than each team keeping its own copy.
The constraints
A concept has no legacy system to inherit, so the constraint we set ourselves was that nothing could require a migration weekend: every part of the model had to be adoptable one team at a time, alongside whatever those teams already use.
What we built
- A unified request object with an explicit, auditable state machine
- Role-scoped views onto the same records rather than parallel systems
- Approval chains that encode the real org structure, including delegation
- Scheduling that surfaces conflicts before they are committed, not after
- Reporting built on the live records, so numbers cannot drift from reality
